Opening & Closing the Labs
Student Consultants with opening shifts are expected to arrive fifteen minutes early in order to ensure that the opening chores are completed before 9am (you are paid for this time). Student Consultants with closing shifts at labs should make sure the lab is locked and the alarm is set when they close the lab.
The opening and closing procedure that must be followed will depend on the lab that you are working at. Learning Technologies maintains two types of labs: partially staffed, and unstaffed.
Partially Staffed Labs include Porter Arts, BE 109/105, Rachel Carson College, Cowell Apartments, and Ming Ong.
Unstaffed labs are labs that are never staffed by a Consultant (Oakes, Kresge, and Music). BE 105 and Crown are serviced by consultants, but are not actually staffed.
General Opening Checklist:
Specific opening information and duties, can be found in the “Labs and Libraries: Specific Information” section of the Handbook and on the signs posted in each lab near the alarm panel.
- In case the lab alarm has not deactivated automatically, have the proper Emergency Contacts available.
- Turn on lights (labs only).
- Turn on Consultant machine and open LTweb so you clock in to your shift.
- Turn on all printers, check paper trays, refill if necessary.
- Turn on scanner(s) and other peripherals before starting up machines. DO NOT turn on the computers unless there is a class coming in shortly and it’s, for some reason, important to shave time off their class start up time. Following this procedure helps save electricity and reduces the temperature in the room.
- Prepare for any opening classes or sections meeting in the labs.
- Check workstations for cleanliness.
- Please open windows and blinds according to weather and comfort.
- Check the door handle to make sure it is unlocked at opening time (labs only).
- Perform the morning chore of Supply Update—this chore is crucial to the labs and libraries as it ensures that the labs and libraries won’t run out of paper, toner, and other supplies. For a full explanation of this chore and the chore policies see the earlier section titled “The Chores.”
- Check UCSC Google email for Learning Technologies news. Check Support Request System for any Tech and Facilities/Class Issues for the lab.
General Closing Checklist:

- Be sure to perform all daily and weekly chores. For a complete list and explanations of the chores and chore policies see the chores section.
- Announce the lab is closing 30, 10, and 5 minutes before closing time.
- Shut down Mac, Windows, and/or Linux machines that are not in use as closing time approaches; this will reduce the number of hits that the server gets to update the machines and therefore will speed their shutdown. Also, please refer to the section below regarding shutting down the Windows gracefully.
- Pick up around the consultant area and all workstations.
- Clean up the food/drink table in the labs, discarding any food or drink.
- Make sure all windows are closed and locked.
- Please be sure to shut down all machines cleanly. This means selecting shut down computers in the appropriate menus for the Macs, Windows and Linux machines.
- Turn off all computers, monitors, peripherals, and scanners (do not turn off power strips).
- Roll up any projection screens left down (labs only).
- Make sure chairs, keyboards, and mice are straightened.
- Clock out of your shift.
- Turn off all the lights (labs only).
- Arm the alarm (labs only).
- Leave making sure the door is securely shut and the Omnilock is locked (labs only).
Security failures:
If there is a security problem such as an Omnilock failure or an alarm not arming please refer to the Emergency Contact list. If you can’t reach the Lab Operations Manager or student managers, contact the Police in addition to reporting a Facilities/Class Issue. The Police can make extra checks throughout the night, and sometimes they will contact the CSO’s to increase security. To call Police Dispatch, dial 9-4857.
False Alarm?
If the lights on the alarm panel are all on and rapidly blinking, it means that the alarm has been triggered. If there is a loud beeping sound accompanying this, you have probably set off the alarm.
IMPORTANT: When the alarm is set off, a call is automatically placed to the police, thus the telephone line may appear dead for a few minutes. Even if the alarm only went off for a second, you have triggered a call to the police. If you enter the wrong code, do not panic. Press “ent” then the correct code, followed by “ent” again to turn off the alarm.
